Job Description

Education Administrative Manager Location Sarasota, FL :

The Sarasota Ballet, one of Sarasota's most prominent arts organizations, is looking for a dynamic self-starter for our Education department. The ideal candidate is one who will utilize their love of the arts, take the lead on assigned projects, demonstrate initiative, and provide support to the organization as needed. This position reports to the Education Director and works cross departmentally. Knowledge of the field is a significant asset and proficiency in Microsoft programs and Google Suite are required.

Responsibilities:

  • Effectively oversee, manage, and improve administration for The Sarasota Ballet's Education programs.
  • Oversee registration, tuition processing and direct communication for the Conservatory, School, and Adult Class Program.
  • Manage all billing ensuring discounts, financial aid and special arrangements are accounted for, as well as communicating and resolving any billing issues in a timely manner.
  • Manage education administrative team including the School Administrator and Front Desk Associates.
  • Maintain, manage, and report on financial aspects of department.
  • Assist with development, implementation, and tracking of the annual budget.
  • Maintain database and record management in a timely and efficient manner.
  • Monitoring, improving, and creating new systems, policies and procedures as needed. Brainstorm innovative ideas and assist in implementing them.
  • Summer Intensive:
    • Plan and organize national audition tour.
    • Create registration and manage enrollment of students.
    • Manage all communication to students and families.
    • Manage day-to-day operations.
    • Oversee residential program, including hiring and training residential staff.
    • Plan and execute weekend excursions including transportation.
    • Organize all logistical and administrative aspects of the intensive as needed.
  • Assist in logistical preparations for any Conservatory, School or Intensive performances including The Nutcracker.
  • Manage education and Company merchandise.
  • Manage part-time staff hours, as well as documenting and reporting payroll for processing.
  • Work cross-departmentally, particularly with the marketing department on copy and design of printed and digital materials for the School, Adult Class Program, Conservatory and Summer Intensive.
  • Function as an ambassador for the organization including attending special events, performances, some of which may be after regular hours and on weekends.
  • First point of contact for students and families ensuring a welcoming and inclusive environment.
  • Manage the Conservatory location at Tallevast Studios and, along with the School Administrator, manage the Sarasota Ballet School's downtown location, communicating any facility issues with the Facilities Coordinator.
  • Manage studio rentals at Tallevast Studios
  • Additional duties and responsibilities as assigned.

Qualifications:

  • Bachelor's degree in arts management, education, or related field preferred; plus two years of professional work experience.
  • Excellent computer skills, including Microsoft Office (Outlook, Word, Excel), including demonstrated proficiency with Google Suite, with the ability to learn new programs.
  • Must be able to pass a background check and have a clear driving record.
  • Position requires working a variable schedule at times including evening and weekend work as needed.
  • Highly organized, proactive with a positive, helpful attitude at all times.
  • Excellent communication skills (written and verbal) with the ability to manage multiple priorities while maintaining a professional demeanor.
  • Effective and clear communication with internal and external constituents, including coworkers, students, and parents.
  • Strong knowledge of finance.
  • Conflict resolution skills.
  • Ability to thrive and adapt to change easily.
  • Knowledge of Jackrabbit Dance, Tessitura, Square POS system and/or Mindbody a plus.
