POSITION SUMMARY: Under limited supervision the Assistant to the CEO supports the Chief Executive Officer and Board of Directors and Senior Executive Team by performing a wide variety of advanced administrative responsibilities. Employees in this job class work autonomously to represent the CEO in a variety of communications with various audiences, and to redirect or refer inquiries as appropriate. This job requires broad organizational knowledge and familiarity with PRIDEs mission, businesses, customers and communities. The Executive Assistants to the Senior Executive Team have a dotted line reporting relationship with this position. TYPICAL DUTIES: 1. *Serves as the first point of contact with the CEOs office for all communications and decides independently to redirect or refer communications based on consultations with CEO or executive leadership. 2. *Exercises appropriate judgment in representing the CEO and PRIDE in oral and written communications to a wide variety of audiences including employees, managers, executives, board members, customers, parents, stakeholders and the public. 3. * Coordinates priorities of the team of Executive Assistants to ensure optimal allocation of work and support for the Senior Executive Team. Directs the priorities and assignments of Executive Assistants consistent with support requirements of Senior Executive Team. 4. *Writes, researches, and reviews/highlights a wide range of materials such as internal and external correspondence, executive reports, monthly board reports, board agendas, board minutes and presentations. 5. *Manages the CEO's calendar, schedules, and meetings. Provides resources, background materials and information to prepare the CEO for meetings; books travel and related services. 6. *Manages the CEO's office to ensure its smooth operation. Tracks and follows-up numerous items between the CEO and direct reports; 7. *Plans, manages, coordinates, and purchases goods and services for key corporate events including board meetings and other external stakeholder or professional group meetings. 8. Performs other duties and special projects as assigned.

MINIMUM QUALIFICATIONS:
  • Five years or more years of experience in an executive support role at the CEO or senior executive level, with responsibilities for office management and administration.
  • Ability to establish priorities and anticipate the needs of the CEO, with urgency and flexibility in responding to changing priorities and handling numerous projects at the same time;
  • Experience working with boards of directors, maintaining board and corporate files and documentation, including drafting minutes from Board meetings; effective working relationships with board members, executives, customers, external agencies and other high- profile individuals;
  • Proficiency with email, and electronic contact and scheduling tools; use of technology to track and handle numerous recurring tasks;
  • Advanced level computer skills in word processing, spreadsheet, electronic file management (e.g. Sharepoint) and presentation software; familiarity with creating a variety of documents, letters, presentations, spreadsheets and reports;
  • Knowledge of administrative practices, standards, procedures, and equipment, use of organizational skills to ensure the smooth operation of CEO's office;
  • Ability to communicate effectively both orally and in writing; to make presentations and respond to inquiries by management, team, or customers;
  • Human relation skills to build effective relationships with team and internal customers;
  • Knowledge of business English including vocabulary, spelling, and correct grammatical usage and punctuation;
  • Ability to establish priorities and solve a wide range of business problems;
  • Demonstrated customer service, common sense, problem solving and analytical skills;
  • Flexibility to respond to changing work priorities and handle numerous projects at the same time.
EDUCATION REQUIREMENTS: Bachelors Degree CERTIFICATES OR LICENSES REQUIRED: The following licenses or certificates may be required depending on local, state and/or contract requirements: Cert Project Mgmt Prof (PMP) PHYSICAL REQUIREMENTS: Employees must have the ability to perform the following physical demands for extended periods of time with or without assistance:

  • Utilizing keyboard
  • Answering phone/making calls
WORK ENVIRONMENT: Work is performed in a normal office environment with limited privacy and some exposure to background noise. Employees may be required to work in excess of 8 hours in a day and/or 40 hours per week.
